A well-designed invoice is more than just a payment request — it reflects your professionalism and helps ensure you get paid on time.
What to Include on an Invoice
Every professional invoice should contain the following elements:
1. Your Business Information - Business name or your full name - Business address - Phone number & email address - Company logo & Tax/VAT registration ID
2. Customer Information - Customer name or business name - Customer billing address - Contact email and phone number
3. Invoice Details - Invoice number — A unique identifier for tracking (e.g. INV-0001) - Invoice date — The date the invoice was issued - Due date — When payment is expected - Payment terms — Such as "Net 30" or "Due on receipt"
4. Line Items Each product or service should be listed with: - Description of the item or service - Quantity - Unit price - Applicable line discount or tax percentage
5. Totals - Subtotal (sum of all line items) - Applicable taxes and discounts - Total amount due
6. Payment Instructions - Accepted payment methods - Bank account number, IBAN/SWIFT, or online payment link
Tips for Better Invoices
- 1Use a consistent invoice numbering system — Sequential numbers (INV-001, INV-002) make tracking easier.
- 2Be specific with descriptions — Detailed line items reduce confusion and disputes.
- 3Send invoices promptly — The sooner you invoice, the sooner you get paid.
- 4Set clear payment terms — Always specify when payment is due.
- 5Follow up on overdue invoices — Send polite reminders before and after the due date.
